A strong sponsorship package makes it easy for a potential partner to understand your chapter, your audience, the opportunity, and what they receive in return. It does not need to be complicated—it needs to be clear, credible, and easy to act on.

Your sponsorship package should answer four questions quickly: Who will I reach? Why does this opportunity matter? What will I receive? How do I participate?

A Sponsorship Package Should Make the Decision Easier

You have an event idea, a speaker, a venue, or a chapter initiative you want to strengthen. Sponsorship can help support that work—but potential partners need enough information to understand what they are being asked to support and what the relationship includes.

That is the job of the sponsorship package.

Think of it as a concise decision-making document rather than a brochure. A sponsor should be able to skim it and quickly understand the opportunity.

THE PACKAGE FORMULA

Opportunity + Audience + Sponsor Value + Clear Next Step

1. Start With a Clear Event or Opportunity Overview

Open with a short description that answers the basics: what the opportunity is, when and where it happens, who it serves, and why it matters.

COPY THIS STRUCTURE

“The AMPP [CHAPTER NAME] will host [EVENT / PROGRAM] on [DATE] in [LOCATION]. The event will bring together [AUDIENCE] for [PRIMARY PURPOSE OR VALUE]. We expect approximately [ATTENDANCE, IF KNOWN] and will feature [IMPORTANT PROGRAM HIGHLIGHTS].”

Quick Tip: Keep the overview short. Sponsors do not need the entire event agenda before they understand the opportunity.

2. Explain Who Your Chapter Serves

Give potential sponsors enough context to understand the chapter and its connection to the local industry.

Useful information may include:

  • The geographic area your chapter serves
  • The types of professionals who participate
  • Industries commonly represented
  • The chapter’s purpose and typical activities
  • Relevant chapter or event reach that you can accurately support

KEEP IT CREDIBLE

Use current, supportable numbers. If you do not have reliable data for a metric, leave it out rather than guessing or making the audience sound larger than it is.

3. Describe the Audience Sponsors Can Reach

Sponsors are often trying to understand whether the people involved in your chapter or event are relevant to their organization.

Depending on what you know, your audience profile might include:

  • Expected or historical event attendance
  • Professional roles represented
  • Industries or market sectors represented
  • Geographic reach
  • Relevant email, social, or chapter communication reach
  • Past event performance when the data is useful and current

DON’T JUST LIST NUMBERS

Help the sponsor understand who those people are and why connecting with them may be valuable.

4. Build Sponsorship Options Around Real Value

Sponsorship levels should be easy to compare and easy for your chapter to deliver.

You can use traditional tier names or straightforward package names. The labels matter less than the clarity of the benefits.

A BETTER QUESTION

Instead of asking, “How many benefits can we put in each tier?” ask, “Which benefits will actually matter to sponsors—and can we deliver every one of them well?”

5. Choose Benefits Your Chapter Can Reliably Deliver

More benefits do not automatically create a better package. Every promised benefit becomes something your volunteers need to track and deliver.

Depending on the event and current AMPP guidance, appropriate benefits may include things such as:

  • Logo or name recognition in approved event materials
  • Recognition in selected chapter communications
  • Event signage or sponsor slides
  • Exhibitor or table presence when appropriate
  • Verbal recognition
  • Other clearly defined benefits your chapter is authorized and equipped to provide

BEFORE ADDING A BENEFIT

  • Will a sponsor understand the value?
  • Can the chapter deliver it consistently?
  • Who will own delivery?
  • Is it appropriate under current AMPP guidance?
  • Can you document when it has been fulfilled?

6. Price the Package Intentionally

There is no universal sponsorship price that works for every chapter or event. Pricing should reflect the specific opportunity, the value being offered, your event economics, and what is realistic for the market you serve.

THINK ABOUT BOTH SIDES

What does the chapter need the sponsorship to accomplish—and what is the sponsor receiving in return?

When evaluating pricing, consider:

  • The event budget and financial goal
  • The size and relevance of the audience
  • The visibility and access included in the package
  • Comparable opportunities in your local market when useful
  • Past sponsor participation and feedback
  • Your chapter’s ability to deliver the benefits consistently

Important:
Avoid treating sample prices from another event—or an older blog post—as a required rate card. Build pricing around your actual event and confirm current chapter financial and sponsorship guidance when needed.

7. Make the Next Step Obvious

A sponsor should never reach the end of the package and wonder what to do next.

INCLUDE

  • A clear chapter contact
  • How to select or request a sponsorship
  • The commitment deadline
  • Payment or confirmation instructions
  • Deadlines and specifications for logos or other materials
  • Any important event-specific requirements

THE LAST PAGE SHOULD ANSWER

“I’m interested. What do I do now?”

Make It Professional Without Overdesigning It

Your package should look organized and credible, but it does not need elaborate design.

  • Use short sections and easy-to-scan tables
  • Include relevant event or chapter imagery when appropriate
  • Make sure links and contact information work
