5 End-of-Year Marketing Moves to Set Your Chapter Up for a Strong Start

Before the calendar turns over, take a little time to look back, clean up, recognize the people who helped your chapter succeed, and make the first few months of the new year easier to manage.

The Key Idea

You do not need to reinvent your chapter every January. Use the end of the year to keep what worked, fix what caused friction, capture what you learned, and give the next year a head start.

What You’ll Get From This Guide

  • A simple year-end chapter review
  • A digital cleanup checklist
  • A ready-to-use Year in Review framework
  • A first-quarter planning exercise
  • Member and volunteer recognition ideas
  • A 45-minute year-end reset agenda

Finish the Year by Making Next Year Easier

The end of the year is a useful planning window because your chapter has something January does not: a full year of experience to learn from.

You know which events members responded to. You know which projects were harder than expected. You know which volunteers stepped up, which sponsors were engaged, and which communication habits were actually sustainable.

Capture that information now instead of starting from a blank page later.

THE YEAR-END RESET

Review → Refresh → Celebrate → Plan → Carry Forward

1. Review What Worked—and What Didn’t

Before planning anything new, spend a few minutes looking at the year you just completed.

This does not need to become a complicated reporting exercise. The goal is to identify patterns your leadership team can actually use.

ASK YOUR TEAM

  • Which events had the strongest attendance?
  • Which topics seemed to generate the most interest?
  • Which emails or social posts got a noticeable response?
  • Which partnerships worked well?
  • Where did volunteers struggle?
  • What took more time than it was worth?
  • What should we definitely do again?

KEEP IT PRACTICAL

You are not trying to explain every result. Look for enough evidence to decide what your chapter should continue, change, test, or stop.

USE THIS SIMPLE FRAMEWORK

KEEP: What worked well?

CHANGE: What created friction?

TRY: What should we test next?

STOP: What no longer deserves our time?

2. Refresh Your Chapter’s Digital Spaces

Outdated information makes an active chapter look inactive.

Use the end of the year to make sure members and prospective participants will find accurate information when they look for your chapter.

DIGITAL CLEANUP CHECKLIST

☐ Remove outdated event flyers and announcements

☐ Update officer and leadership information

☐ Confirm the chapter contact email still works

☐ Test important website links

☐ Review social profile information

☐ Add a few strong photos from recent activities

☐ Archive old materials your team may need later

☐ Organize shared chapter files for the next leadership team

QUICK TIP

Think beyond what members see. Clean up the internal folders, templates, photos, and working files future volunteers will need too.

3. Show Members What Their Chapter Accomplished

Your chapter may have done more during the year than members realize.

A simple Year in Review email, social post, or chapter update can make that impact visible.

INCLUDE THINGS LIKE

  • Events and technical programs
  • Members who contributed
  • Volunteer accomplishments
  • Scholarships, awards, or recognition
  • Student or emerging-professional activities
  • Community or industry outreach
  • Sponsor support
  • Photos or memorable moments
  • A preview of what is coming next

THE SIMPLE YEAR-IN-REVIEW FORMULA

What We Did + Who Made It Possible + Why It Mattered + What’s Next

What a Year for [CHAPTER NAME]

This year, our chapter brought local professionals together through [EVENTS / ACTIVITIES], supported [MEMBER / STUDENT / INDUSTRY IMPACT], and created new opportunities to learn and connect.

None of it would have happened without our members, volunteers, speakers, sponsors, and partners. Thank you for being part of it.

We’re already looking ahead to [UPCOMING EVENT / INITIATIVE], and we hope you’ll join us for another great year.

This kind of recap does more than celebrate the past. It gives members evidence that the chapter is active, creates material you can reuse in sponsor conversations, and helps build momentum for the year ahead.

4. Give the First Quarter a Head Start

You do not need the entire next year planned before December ends.

Start with the first 90 days.

Q1 STARTER PLAN

☐ Confirm the first major event or activity

☐ Identify important dates and deadlines

☐ Decide what members need to hear in Month 1

☐ Decide what needs to be promoted in Month 2

☐ Identify one useful member-engagement idea for Month 3

☐ Assign communication owners

☐ Start promoting anything that requires significant lead time

Example Three-Month Rhythm

Month Focus Possible Communication
Month 1 Reconnect Chapter update + what’s ahead
Month 2 Promote Event invitation + reminders
Month 3 Engage Member spotlight, sponsor recognition, or next opportunity

DON’T OVERPLAN

Your goal is not to predict the entire next year. Give January, February, and March enough structure that the chapter does not have to restart from zero after the holidays.

5. Recognize the People Who Made the Year Possible

Before everyone moves on to new goals, make sure the people who contributed know their work was noticed.

Recognition does not need to be formal or expensive.

PEOPLE TO THANK

  • Chapter volunteers
  • Outgoing officers
  • Speakers and instructors
  • Sponsors and partner organizations
  • Students and emerging professionals
  • Long-time members
  • First-time volunteers
  • Anyone who quietly helped make an event work

“Before we close out the year, we want to thank the members, volunteers, speakers, sponsors, and partners who made [HIGHLIGHT / ACCOMPLISHMENT] possible. Your time and support helped create valuable opportunities for our local AMPP community, and we appreciate everything you contributed.”

MAKE RECOGNITION SPECIFIC

“Thank you for helping with the registration table at three events this year” usually means more than a generic “Thanks to all our volunteers.”

Don’t Lose What You Learned

One of the easiest ways to make chapter leadership harder is to make each new officer or volunteer rediscover how everything works.

Before closing out the year, save the useful pieces.

SAVE FOR NEXT YEAR

☐ Best-performing event formats

☐ Successful email copy

☐ Social post examples

☐ Sponsor contacts and notes

☐ Speaker contacts

☐ Event photos

☐ Useful templates

☐ Volunteer-role notes

☐ Lessons the next leadership team should know

Run the Whole Reset in About 45 Minutes

You can use this article as the agenda for a short year-end leadership meeting.

Time Focus
10 minutes Review what worked and what didn’t
5 minutes Identify digital cleanup needs
10 minutes Choose Year in Review highlights
10 minutes Set the first-quarter priorities
5 minutes Identify people to recognize
5 minutes Assign next steps and owners

YOUR 30-SECOND YEAR-END CHECK

Before Everyone Signs Off for the Year, Ask:

  • Do we know what worked well this year?
  • Do we know what we want to change?
  • Are our public chapter details current?
  • Have we thanked the people who helped?
  • Have we shown members what the chapter accomplished?
  • Do we have a rough plan for the first 90 days?
  • Can the next leadership team find our important files?

TRY THIS BEFORE THE YEAR ENDS

Create a One-Page Chapter Year-End Note

What worked: [3 THINGS]

What we learned: [2–3 LESSONS]

Who we want to thank: [PEOPLE / GROUPS]

What is coming next: [Q1 PRIORITIES]

What the next leadership team should know: [NOTES]

What to Take Away From This

A strong new year does not have to begin with a blank page.

Take what your chapter learned, preserve what worked, recognize the people who contributed, clean up what no longer serves you, and give the first quarter enough structure to get moving. A little preparation now can make the transition into the next year much easier for everyone.
